What a wedding transfer booking covers #

Four kinds of leg, booked separately or together: airport pickups for arriving guests, hotel-to-venue shuttles on the day, a vehicle for the bridal party's families, and runs home at the end of the night. Each leg is its own booking with its own fixed fare, quoted before you accept it. There is no wedding package and no minimum number of vehicles.

Vehicles are matched to the job, not the occasion: people movers and the eleven-seat maxi van move the crowd, the luxury van covers the legs that end up in photographs. One maxi van is simpler than three sedans converging on the same driveway.

When should I book guest transfers? #

Book airport pickups as soon as flights are ticketed, and shuttles as soon as the ceremony time is locked. Large vehicles are the constraint in any wedding convoy, so commit the maxi van and people movers first. A guest who reschedules a flight is one email to bookings@wsitransfers.com.au with the new flight number, not a phone chain.

Airport pickups for interstate and overseas guests #

Book each pickup against the guest's actual flight number. We track the flight, and the driver works to the real landing time rather than the printed one. Airport pickups include free waiting measured from touchdown, so a delayed leg costs the guest nothing and costs you no phone calls.

Which airport matters more than it used to. Sydney Airport at Mascot has an 11pm–6am curfew. Western Sydney International at Badgerys Creek opens to passengers on 25 October 2026, has no curfew, and runs one integrated terminal — domestic and international arrivals walk out of the same building. By road WSI is about 61 km from the CBD and Mascot about 13 km, so guests landing at the two airports are on entirely different schedules. Put the airport in the booking, not just the city.

Hotel-to-venue shuttles: by the leg or by the hour? #

By the leg when it is one run each way at fixed times. By the hour when the vehicle has to wait, shuttle repeatedly, or absorb a run sheet that will move. Hourly hire is priced at a set rate per vehicle instead of by distance and starts with a two-hour block; the driver stays with you for it.

For a loop between one hotel and one venue, hourly is usually the honest choice: nobody can predict how long photographs take, and a by-the-leg booking that sits waiting is an expensive way to buy an hour.

Guests travelling with children #

Every child needs their own approved restraint, and every fitted restraint occupies a passenger seat — so a seven-seat people mover with three child seats fitted carries four adults, not seven. Declare each child's age against each leg at booking. Seats are fitted before the vehicle arrives, not at the kerb in formalwear.

Transport for NSW sets restraint requirements by the child's age, with size guidance alongside it, and restricts front-row travel for young children. Check their current guidance for the detail that applies to your guests' children. Whatever exemptions apply to other vehicle types, our practice is one fitted, age-appropriate restraint per child.

End-of-night runs and venue access #

Book them in advance and nominate a contact who is not the couple and will answer a phone at 11pm. End-of-night pickups are the leg most likely to move: to change the time, reply to our call or email bookings@wsitransfers.com.au, and we confirm the fare for the new time before anything changes — trips from 10pm to 5.59am carry a late-night surcharge.

Venue access is worth thirty seconds of thought. Name the gate or driveway the vehicle should use, not just the venue. Long gravel driveways, gates locked after the ceremony, unlit approach roads and patchy reception are normal at wedding venues, and all are solved by a line in the booking notes and a second contact number.

What to send us, and when #

Send all of this at booking rather than on the day. Guest transfers are scheduled a week or more ahead, vehicles are allocated against headcounts and restraint counts, and a wedding morning is the worst possible time to discover that a van cannot reach the venue gate or that a child seat was never on the booking.

  • The flight list: guests grouped per vehicle, with flight number, date and which airport — SYD and WSI are not interchangeable.
  • Ceremony and reception addresses, plus the specific gate or driveway the vehicle should use.
  • Every child's age, per leg, so restraints are fitted and seat counts are right.
  • Anything bulky: prams, folding wheelchairs, instruments, the cake.
  • A day-of contact who is not the couple, with a phone that will be answered.
  • For each return leg: whether the driver waits or comes back — waiting is priced, so decide it now.

Common questions

Can you hold a vehicle at the venue between the ceremony and the reception?

Yes — book that leg by the hour rather than by distance. Hourly hire uses a set rate per vehicle and starts with a two-hour block, and the driver and vehicle stay with you for the whole block. It is the right structure for any part of the day where the timing is a guess rather than a schedule.

Do you provide the bridal car itself?

Not a decorated or classic wedding car — that is a different trade and we would rather say so. What we do is move people: the luxury van for the bridal party's families and the photographed arrivals, people movers and the maxi van for guests, and airport work for everyone flying in.

Can one booking cover eight guests arriving on three different flights?

No. Each pickup is booked against its own flight number so it can be tracked independently — that is the point. Email the full list to bookings@wsitransfers.com.au, or request a fare for the first leg and bring the list to our call back, and we will schedule them together, with one fixed fare per leg and one point of contact for the week, rather than one fragile booking.

What happens if a guest's flight is delayed?

Nothing you need to manage. The pickup is tied to the flight number, so the driver works from the actual landing time and airport pickups include free waiting measured from touchdown. If a flight is cancelled outright, email bookings@wsitransfers.com.au to move or cancel that leg under the published cancellation policy.

Do you go to venues outside Greater Sydney?

Greater Sydney is the standard service area, and venues beyond it are by arrangement. Ask through the contact page with the venue address and date before you build the run sheet around us — you will get a straight yes or no rather than a maybe, which is more useful when you are planning a wedding.

Is there a minimum spend or a set number of vehicles?

No. Book one airport pickup or fifteen legs across a week; the structure is the same and every leg is quoted at a fixed fare before you accept it. Nothing is bundled into a package, so you are never paying for a shuttle you did not need to cover the one you did.
