With Western Sydney International opening on 25 October 2026, corporate travel in Sydney gets a second gateway — and for offices in the west the airport run can be far shorter: Penrith is about 24 km from WSI by road, against 58 km to Sydney Airport. We serve both airports on the same account and the same pricing model.

Corporate arrangements start with an ordinary fare request rather than a form: get a fare for a typical trip on the booking page, leave your name and mobile, and tell us your team size and travel pattern when we call you back. We'll come back with how the account would work.

How does a corporate account work? #

It's agreed in a conversation, not chosen from a table. Tell us who travels, how often, and between where — then we come back with how trips get requested and paid, how they are identified on your side, and how receipts are handled. We don't publish tiers, discount schedules or contract terms, because we haven't set any we could stand behind, and inventing them on a web page would be the wrong way to start.

Until an account exists, the ordinary quote request works for work travel: the fare is shown with GST included, we call to confirm the vehicle and the fare, and the secure payment link carries that same fare. Nobody has to wait for an account to be opened before an employee can get to a flight.

What do the receipts and tax invoices look like? #

That is agreed when the account is set up, because nothing is paid until the secure payment link we send after our call. What is fixed already: every fare is quoted with GST included, and the fare breakdown online shows the GST component separately rather than folding it into a total.

Put your cost centre, project code or client name in the special-instructions field when you request the fare and it travels with the trip, so the reconciliation happens when the trip is arranged rather than three weeks later from memory.

Duty of care: what does the traveller actually get? #

A named driver before pickup, not a stranger at a kerb. When a driver is assigned, the traveller gets the driver's first name, the vehicle and the registration by SMS and email, then an update when the driver is on the way and when they have arrived. Every trip is pre-booked and paid before pickup, with the fare confirmed before anyone gets in the car.

For a lone employee landing at night, that matters more than anything on a pricing page. There is no fare to negotiate at 2am, no cash to carry, and no decision to make between an unbooked car and a long wait. Arrival legs are flight-tracked, so a delayed traveller is met at the actual landing time, and airport pickups include 60 minutes of free waiting from actual landing.

Late-night and pre-dawn staff travel #

Early-morning and late-night trips can be requested like any other, and trips from 10pm to 5.59am carry a 20% late-night surcharge — a fixed percentage published on the pricing page and shown in the fare you are quoted, not a surge multiplier that reprices while your employee stands outside an empty terminal.

This changes on 25 October 2026, when Western Sydney International opens to passengers. WSI has no curfew, while Sydney Airport keeps its 11pm–6am curfew, so overnight arrivals into Western Sydney become possible and someone has to get those people home. By road, Penrith, Blacktown, Liverpool and Campbelltown are nearer WSI than Sydney Airport, while Parramatta is nearer Sydney Airport. Both airports run on the same account and the same pricing model.

Roadshows and multi-stop days #

Send the itinerary — addresses, meeting times, how many people travelling — and we return a leg-by-leg schedule with a fixed fare on each leg. Sedans for the quiet hour before a meeting, people movers to keep a team together between them, and the 11-seat maxi van for a visiting delegation that shouldn't arrive in three separate cars.

Build the day around when you must arrive, not when you'd like to leave, and tell us which meetings are immovable — that's what the buffers get spent on. Nominate one coordinator for the day and give us their mobile, so a schedule that slips at 11am is handled in one conversation rather than by six people improvising.

Booking travel for someone else #

Request the fare with the traveller's pickup address and flight, and leave your own name and mobile if you are the one arranging it: we call that number to confirm the vehicle and the fare, and send the secure payment link to whoever is paying. Give us the traveller's name and mobile on that call — that is the number the driver will use.

To change or cancel the trip later, tell us when we call, or email bookings@wsitransfers.com.au with your name, mobile and travel date, so it helps if the traveller knows who arranged it. Use the special-instructions field for anything the driver needs on the ground: which building entrance, a name board for meet & greet, a site with restricted access.

Common questions

Can we be invoiced monthly instead of paying per trip?

Not as standard: each trip is paid by the secure payment link we send after calling to confirm the vehicle and the fare. Anything other than that is an account arrangement, and account arrangements are agreed individually. Tell us when we call, or email bookings@wsitransfers.com.au, and we'll say plainly what we can and can't do rather than promise terms on a page.

Do you offer corporate discounts?

We don't publish any, and nothing on this page should be read as an offer of one. What is published is the fare model itself: fixed fares confirmed before you pay, no surge pricing, and the late-night and public-holiday components shown as fixed percentages on the pricing page. The fare we confirm on our call is the fare on the payment link.

Is GST shown separately?

In the fare, yes: every fare is quoted with GST included, and the breakdown online shows the GST component separately rather than absorbing it into a total. How receipts are issued for an account, including consolidating them across travellers, is agreed when the account is set up, because nothing is paid until the secure payment link we send after our call.

Can several employees travel under one account?

Yes — that's the main reason to have one. How trips are requested and paid for a team, and how receipts are handled, is part of the setup conversation. Putting a traveller name, cost centre or project code in the special-instructions field when you request each fare keeps every trip attributable without anyone reconstructing it later.

Which airports and areas do you cover?

Sydney Airport — T1 international, T2 and T3 domestic — and Western Sydney International from its first passenger day, 25 October 2026, where domestic and international share a single terminal. Ground service covers Greater Sydney, NSW, with the same account and pricing model across both airports.

What if a flight is delayed and the schedule falls apart?

Arrival legs are arranged against the flight number and tracked, so the pickup follows the actual landing time and the fixed fare doesn't change because the aircraft was late. If the trip itself needs to change — a different address, a later time, more passengers — tell us when we call, or email bookings@wsitransfers.com.au with your name, mobile and travel date. Once a trip is paid, cancelling is free up to 24 hours before pickup, 50% is refunded up to 4 hours before, and nothing is refunded inside 4 hours.
